Role Overview

The Process Automation Executive owns how MSLA's internal work gets done — but mostly by not doing it manually. The core of this role is identifying repetitive operational processes (note-taking, agenda prep, task creation, follow-ups, status updates, onboarding) and replacing them with automated workflows powered by Claude and other AI tools, integrated across Slack, Jira, and Google Workspace.

Operations and communications are the substrate: you'll keep our Slack workspace, Jira board, and meeting operations running cleanly. The long-term goal, however, is that most of that work runs itself — so the team can focus on higher-leverage strategy and impact rather than manual coordination.

This role is ideal for someone who instinctively asks "could a script or AI agent do this?" before any recurring task, and who is excited to apply AI tooling in service of a mission-driven organization.

Key Responsibilities

Automation & AI tooling (primary focus)

  • Identify routine, repetitive, or manual processes across MSLA and replace them with automated workflows wherever possible.
  • Use Claude and similar AI tools to automate note-taking, meeting summaries, agenda preparation, and follow-up generation.
  • Build automations that turn meeting notes and Slack discussions into properly formatted Jira tasks with owners and due dates.
  • Set up and maintain integrations between core tools (e.g. Slack, Google Workspace, Jira, Notion) so information flows automatically and isn't re-entered by hand.
  • Automate recurring reports, reminders, status nudges, and onboarding steps.
  • Document each automation clearly so other execs can understand, trust, and extend it.
  • Continuously review existing workflows and propose AI-driven improvements that save the team time.

Operations & communications

  • Manage and maintain the MSLA Slack workspace, including channels, automations, and user permissions.
  • Ensure team updates, reminders, and action items are communicated consistently across Slack.
  • Maintain the Jira board (or equivalent tool) to reflect active projects and backlogs.
  • Prepare and circulate meeting agenda.
  • Record meeting minutes, decisions, and action items during weekly or biweekly team meetings.
  • Follow up after meetings with summarized notes and clearly assigned next steps.
  • Maintain a centralized repository of meeting records and documentation (Google Drive / Notion / Confluence).
  • Track task progress and flag blockers or overdue items for leadership review.
  • Ensure that organizational priorities are visible and time-bound through the Jira system.
  • Help maintain an updated MSLA operations manual (covering internal tools, SOPs, and communication norms).
  • Assist with onboarding new team members and MSA execs by ensuring they're set up on Slack, Jira, and shared drives.

Desired Qualifications

  • A "default to automate" mindset: instinctively asks "could a script or AI agent do this?" before doing recurring work by hand.
  • Hands-on experience (or strong interest) in using Claude or similar AI assistants to automate everyday work — note-taking, agenda generation, task creation, summarization, and follow-ups.
  • Comfort building automations and integrations between tools (e.g. Slack workflows, Zapier / Make / n8n, Google Apps Script, Jira automation rules, MCP-based integrations) — or a clear willingness to learn.
  • Proficient with, or willing to learn, productivity tools such as Slack, Google Workspace, and Jira.
  • Strong organizational and time-management skills.
  • Attention to detail and clear written communication skills (including writing clear documentation for automations you build).
  • Experience as an MSA executive, secretary, or similar operational/administrative position is a plus.
  • Familiarity with project management or agile workflows (sprints, task boards) is a plus.
  • Alignment with MSLA's mission and commitment to community-centered, faith-driven work.
