About MSLA

The Muslim Student Leaders & Alumni (MSLA) is an organization that works with MSAs on a consultancy capacity, focusing on community growth and sustainability. Role Overview

The Operations Assistant Executive is a critical role within MSLA's internal organization. This person ensures that our operations run efficiently — meetings are structured and communications flow clearly.

You will help manage MSLA's internal systems — including our Slack workspace, Jira project board, and meeting operations — to ensure the team stays organized, accountable, and focused on achieving impact.

This role is ideal for someone organized, tech-comfortable, and excited about supporting a mission-driven organization through a strong operational infrastructure.

Key Responsibilities

  • Manage and maintain the MSLA Slack workspace, including channels, automations, and user permissions.
  • Ensure team updates, reminders, and action items are communicated consistently across Slack.
  • Maintain the Jira board (or equivalent tool) to reflect active projects and backlogs.
  • Prepare and circulate meeting agenda.
  • Record meeting minutes, decisions, and action items during weekly or biweekly team meetings.
  • Follow up after meetings with summarized notes and clearly assigned next steps.
  • Maintain a centralized repository of meeting records and documentation (Google Drive / Notion / Confluence).
  • Track task progress and flag blockers or overdue items for leadership review.
  • Ensure that organizational priorities are visible and time-bound through the Jira system.
  • Identify bottlenecks or inefficiencies in workflows and propose improvements.
  • Help maintain an updated MSLA operations manual (covering internal tools, SOPs, and communication norms).
  • Assist with onboarding new team members and MSA execs by ensuring they're set up on Slack, Jira, and shared drives.

Desired Qualifications

  • Experience as an MSA executive, secretary, or similar operational/administrative position.
  • Strong organizational and time-management skills.
  • Proficient with, or willing to learn, productivity tools such as Slack, Google Workspace, and Jira.
  • Attention to detail and clear written communication skills.
  • Familiarity with project management or agile workflows (sprints, task boards) is a plus.
  • Alignment with MSLA's mission and commitment to community-centered, faith-driven work.
